8. Task Lists
This is a fairly full-featured "to-do" list manager that supports private and shared tasks lists, integration with the Calendar function, categories, priorities, due-dates, searches, printing and import/export functions.
Contents
Lists Tasks
The List Tasks screen shows tasks according to four states with names that are fairly self-explanatory:
- All Tasks
- Incomplete Tasks
- Future Tasks
- Completed Tasks
In each view you can see a tasks completion status (checked off with a line through the name or unchecked), its task priority, its name, and due date.
New Task
To create a task on the Task List, click the New Task icon. Type the task name and other desired information in the appropriate fields. Click Save.
Search Tasks
To locate tasks, click on the Search icon on the top menu bar and enter the text you wish to search for. You can search the task name, task description and/or task category. You may limit your search to complete or incomplete tasks, or you may search all tasks.
Import/Export Tasks
The Import/Export icon allows you to import or export task lists. Currently you can import/export files from/to CSV and iCalendar formats. This only imports or exports the current tasks from those sources. It does not create a permanent link between the task managers.
Print Tasks
Tasks and Task list views are designed to be printable. When in one of these views, a Print icon will appear in the top menu bar. Clicking this icon opens a popup window which contains a printable version of the task list.
Sorting Tasks
When viewing a list of entries, you can sort the entries by any column by clicking on the appropriate column heading. To switch columns between ascending and descending order, click on the arrow icon in the column heading.
Editing Tasks
Click on the edit icon (the piece of paper with a pencil on it) or the task name to modify the task.
Task List Overlay
If you have chosen to display the task options panel (Options for Tasks->Display Options->Show task list options panel [checkbox]) then you will see a floating window on the right side of the EduMail Advanced Tasks screen.
Click the checkbox next to task list you wish to display in your Task List view and click Save.
Managing Task Lists
If you have chosen to display the tasks options panel (Options for Tasks->Display Options->Show tasks list options panel [checkbox]) then you will see a floating window on the right side of the EduMail Advanced Tasks screen. By clicking on the Manage Tasks link you can modify your task lists.
Renaming Task Lists
Within the Manage Task Lists screen, click on the edit icon (it looks like a piece of paper with a pencil on it) for the task list you wish to rename. A window will appear which allows you to edit the current name and description. Click Save when finished.
Deleting Task Lists
Within the Manage Tasks Lists screen, click on the delete icon (it looks like a trash can) for the task list you wish to delete. You will be prompted to confirm you with to Delete (or Unsubscribe) the task list.
Sharing Task Lists
Within the Manage Task Lists screen, click on the Change Permissions icon (it looks like a set of keys) for the task list you wish to share with others.
You can share your task lists in many ways, with varying levels of interaction. Please pay close attention to these instructions. Failure to follow the instructions properly could grant others access to and even control of your private task information.
Task List Permissions
The only setting you should change in Task Lists Permissions is the Individual Users section. You must not check any boxes on any other row and you must not modify the Task List Owner.
To share your task lists with another person, enter their EduTech user name in the text box under Individual Users. You may select from five types of permission to grant them.
Show: This only allows the individual the ability to see that tasks exist, but they may not see any details
Read: An individual with Read permission can see all details for tasks in your task list, but they cannot modify any of them.
Edit: Granting a person Edit permission allows them to modify tasks in your task list, but they cannot create new tasks or delete existing ones.
Delete: An individual with Delete permission can remove tasks from your task list but cannot create new ones.
Delegate: Giving a person Delegate permission allows them to create tasks in your task list.
Updating permissions for an individual user
If you wish to modify permissions you have granted to someone, enter their EduTech username in the empty text box beneath Individual Users. Check the boxes for the permissions you wish to grant (leave all boxes empty if you wish to remove all permissions for that person). When you save your changes by clicking on the Save button at the bottom of the window, the new permissions will replace the old ones.
Subscribing to your EduMail Advanced Tasks from other task managers
The following function is not yet supported. These instructions are not yet applicable.
You can allow other task management programs and calendars such as Google Calendar and Apple iCal to view your EduMail Advanced Tasks task lists as calendar items. You will have to rely on instructions and help files for those programs for specific steps, but you will need to know your EduTech username and password as well as the URL for the particular EduMail Advanced task you wish to share.
- To find the URL for one of your EduMail Advanced Tasks task list, click on the information icon (the lowercase "i" in a circle) to the right of your task's name in the floating Task List control panel. If you do not see the floating Task List control panel, turn that option on in Options for Tasks-> Display Options->Show task list options panel.
- You will see a popup window which informs you of that particular task list's subscription URL.
- Copy the URL provided to you.
- Follow instructions in your other calendar program to subscribe to remote calendars.
